The Brookshire PTA is comprised of the Executive Board, which includes the President, the 1 st Vice President/Awards, the 2 nd Vice President/Ways and Means, the Treasurer, the Corresponding Secretary, the Recording Secretary, and the Principal. There are committee chair people for the five different committees, and the committee members.
  • The PTA Board follows parliamentary procedure to maintain the integrity of the organization, including keeping minutes of every meeting, reviewing financial records, and adhering to the bylaws set forth by the Brookshire PTA.
  • What do the officers on the PTA do?
The President presides over board meetings and coordinates with board chairs.
  • The 1 st Vice President/Awards serves as President-elect and gathers and submits information for awards consideration from the state and national PTA.
  • The 2 nd Vice President/Ways and Means coordinates with and assists the fundraising chairs.
  • The Treasurer manages the financial affairs of the association.
  • The Recording Secretary keeps the minutes of the meetings.
  • The Corresponding Secretary corresponds with the Board, school, and community.
  • The committee chairs coordinate the activities of their respective committees.
  • What committees are there on the PTA and what do they do?
The Communications Committee puts together and distributes the PTA newsletter, handles membership, oversees the homeroom parents, and coordinates events such as Meet the Teacher Day.
  • The Fundraising Committee chooses and coordinates the various fundraising activities/events of the PTA, such as the fall fundraiser, Book Fairs and the Silent Auction.
  • The Hospitality Committee coordinates Teacher Appreciation, school beautification projects, and handles special donation requests from the school. They also host a Back to School social for teachers and PTA Board members.

  • The Programs Committee organizes monthly family programs for the Brookshire community, including the school carnival, pool parties, roller-skating parties, a Boo Hoo Breakfast for Kindergarten parents and monthly Spirit Day.
  • How do I become involved in a committee or with the PTA?
Sign up sheets are posted at Meet the Teacher Day and in every classroom at the beginning of the school year. Once school has begun, an interested party may contact PTA Board Members, Committee Chairs, or committee members to express their interest. You may join us at our monthly PTA Committee Meetings. Contact names, numbers, and emails are available in the PTA newsletter or the office. A list of contact names is also printed in this information packet.
  • What is the average amount of volunteer time a PTA officer devotes to the job? A committee chair? A committee member?
  • Board Members can expect to spend a minimum of 5 hours a week on PTA related things, including meetings and emails.
  • Committee chairs can realistically expect to spend about 2-3 hours a week on committee-related planning and communicating.
  • Committee members can spend anywhere from 1 hour a year on up, depending upon what duties they've chosen to undertake.
  • Hours related to PTA can vary depending upon the time of year and what events/programs are upcoming. For instance, Meet the Teacher Day requires some planning towards the end of the school year and summer before school begins, but not during other times of the year.
  • What happens to the dues we pay for PTA?
  • PTA dues at Brookshire are $5.00 per year.
    • $1.75 of that goes to National PTA for them to provide materials and publications, underwrite the national convention, support workshops that address the welfare of children, keep a volunteer legislative committee in Washington, D.C. to advocate for children and youth, and maintain a website.
    • $1.25 of the dues goes to the Florida State PTA to provide materials and publications to the local units, maintain a state office that serves local units, publish a Florida PTA Bulletin, finance special projects, and provide leadership training.
    • $2.00 of the PTA dues stays at Brookshire to support various programs and activities in our school community.
  • If I don't have time to volunteer, why should I join the PTA?
  • By adding your name to our roster of members, you increase our collective strength. The impact is strengthened when representing Brookshire PTA before our school and governmental agencies. The Florida PTA has more than 368,000 members seeking to unite home, school, and community. We are part of a National PTA of 7 million volunteers. Your name increases the strength of the Florida PTA and National PTA when dealing with the State Legislature or U.S. Congress on behalf of children.
  • Do I have to come to school to volunteer?
  • No. There are many activities that can be done away from the school that would be of great benefit to different programs and events. Some of these include things like grading Sunshine Math papers, making phone calls, donating items for classroom events or parties, or picking up or dropping off items for events.
  • Can I only volunteer once in a while?
  • Most definitely! Any volunteer assistance at the school is appreciated. It is all vital to achieving the goals of the PTA and the school community. Even one hour a school year is of benefit to a committee.
  • How often does the PTA meet?
  • The PTA Board and Committees meet monthly. The Executive Board also meets monthly (usually a week before a PTA Committee meeting). Individual committees may choose to meet more often based upon their needs, but may also communicate via telephone and email between monthly meetings.
  • Where and when are the PTA meetings held? What time do they start?
  • PTA Committee Meetings are held on the third Thursday of the month in the Media Center at Brookshire. Occasionally, the date of the meeting may be moved up a week if it interferes with another school event. Notice will be given prior to that happening.
  • The meetings begin at 7 p.m. Refreshments are served and child care can be provided also, with advance request.
  • How long are the meetings?
  • The general meeting will last from 7-7:30 p.m. From 7:30-8 p.m. , committees will meet. At this time, members are free to go, but Committee Chairs are asked to stay to inform the Executive Board of any new business on their part. This will adjourn at 8:30.
  • Who comes to the PTA meetings?
  • The Executive Board members, Committee Chairs, Principal, Teacher liaison, and committee members.
  • What happens at the PTA meetings?
  • Minutes from previous meetings are approved. Reports are given from the Corresponding Secretary, Treasurer, Committee Chairs, and the Principal. New business and unfinished business are discussed. Announcements are made. Committees will also have a chance to meet after these reports are completed.
  • How does the PTA raise money at Brookshire?
  • The PTA holds a fall fundraiser, which is the primary source of income for the association. Other sources of income are membership dues and monies raised at various events such as school carnival, book fair, and a silent auction.
  • What does the PTA do with the funds raised?
  • The money raised by the PTA goes to fund enrichment programs at the school such as those involving reading and math, monthly family programs, events for Teacher Appreciation, printing of the newsletter, school beautification, gifts, donations and special requests from the school such as purchase of computers or equipment.
  • Can I volunteer for more than one committee?
  • Yes! Any help is welcome wherever a volunteer feels most comfortable.
  • Do I need to fill out an application form to volunteer at the school?
  • Yes. These forms are available on-line. You can access them from the computer in the office. Instructions are posted next to the computer. You many also access this form from home by going to http://volunteer.ocps.net
  • Do I need to keep track of the time I spend volunteering?
  • Yes. By logging into and out of the computer in the front office.
  • When you come to school, your hours are posted. If you are volunteering away from the school, and are unable to log your hours by coming into the school, the Additions coordinator can be contacted to post them.
  • Why do I need to log my volunteer hours?
  • Schools can get two awards that signify excellence. These are the Five Star School Award and the Golden School Award. Our volunteer hours contribute towards the school's qualification.
  • If I help out with an event or program that requires purchasing items, am I expected to spend my own money?
  • All committees have a budget to spend on events or programs. If there is an approved expense, a PTA check can be made out prior to purchase by filling out a check request. Check request forms, with instructions, are kept in a white binder near the PTA mailboxes in the computer lab (behind the office/workroom). If there is a purchase being made ahead of time that is in an unknown amount, frequently members will make the purchase and then submit a check request for reimbursement. The turnaround on this is very quick.
  • Who do I contact to volunteer?
  • Any Committee chair, or Executive Board member will be happy to assist you in finding the right fit for you if you are interested in helping out at the school. A list of names and contact information is listed at the end of this packet.
